About our privacy policy

LinProfs cares about your privacy. We therefore only process data that we need for (the improvement of) our services and will carefully handle the information that we have collected about you and your use of our services. We never make your data available to third parties for commercial purposes.

This privacy policy applies under the European legal framework (General Data Protection Regulation (GDPR), which is Regulation (EU) 2016/679 of the Parliament and of the Council of 27 April 2016, on the protection of natural persons with regard to the processing of personal data and on the free movement of such data and repealing Directive 95/46/EC, the Organic Law 3/2018 on the Protection of Personal Data and Guarantee of Digital Rights, adopted on 5 December 2018 (LOPDyGDD) to the use of the website and to the services of LinProfs B. V. provided therein. With the publication of a new version, the validity of all previous versions expires. This privacy policy describes what data we collect about you, what we use it for and with whom and under what conditions we may share it with third parties. We also explain how we store your data, how we protect it against misuse and what rights you have with regard to the personal data you have provided to us.

General Purpose of Data Processing

We use your data exclusively for the purpose of providing our services. This means that the purpose of the processing is always directly related to the assignment you have given. If you share information with us and we use this information – other than at your request – to contact you at a later date, we will ask you for your explicit permission. Your details will not be shared with third parties other than to meet accounting and other administrative obligations. These third parties are all bound to secrecy by agreement between them and us or by an oath or legal obligation.

Automatically collected data

Data that is automatically collected by our website is processed with the aim of further improving our services. These are metadata such as your IP address, web browser version and operating system.

Cooperation in fiscal and criminal investigations

As the occasion arises, LinProfs may be required by law to share your data in connection with governmental fiscal or criminal investigations. In such a case we are obliged to share your data.

Storage periods

We will retain your data for as long as you are a customer of ours. This means that we will keep your customer profile until you indicate that you no longer wish to use our services. If you indicate this to us, we will also consider this to be a request for forgetting. Pursuant to applicable administrative obligations, we are required to retain invoices containing your (personal) data; we will therefore retain this data for as long as the applicable term lasts. However, employees no longer have access to your customer profile and documents that we have produced as a result of your instructions.

Your Rights

Under the applicable Dutch and European legislation, you as a data subject have certain rights with regard to the personal data processed by us or on our behalf. Please find below an explanation of your rights and how you can exercise them.

To prevent misuse, we will generally only send copies and transcriptions of your data to your existing e-mail address. If you wish to receive the data at another e-mail address or, for example, by post, we will ask you to identify yourself. We keep a record of completed requests; in the case of a forgetful request, we keep an anonymous record. You will receive all copies and data in the machine-readable data format that we use in our systems.

You have the right at any time to lodge a complaint with the Personal Data Authority if you suspect that we are using your personal data in an improper manner. For more information, see below:

You always have the right to inspect the data we process, or have processed, which relate to or can be traced back to you. You can make a request to that effect to our contact person for privacy matters. You will receive a response to your request within 30 days. If your request is granted, we will send you a copy of all data at the e-mail address we have on record together with a list of the processors holding this data and the category under which we have stored it.

Right of rectification

You always have the right to have the data we process, which relate to you or can be traced back to you, amended. You can make a request to this effect to our contact person for privacy matters. You will receive a response to your request within 30 days. If your request is granted, we will send you a confirmation at the e-mail address we have on record that the data has been modified.

Right to restriction of processing

You always have the right to restrict the data that we process, or have processed, which relate to or can be traced back to you. You can make a request to this effect to our contact person for privacy matters. You will receive a response to your request within 30 days. If your request is granted, we will send you a confirmation at the e-mail address you provided that the data will no longer be processed until you lift the restriction.

Right of transferability

You always have the right to have the data we process, which relate to your person or can be traced back to you, carried out by another party. You can make a request to this effect to our contact person for privacy matters. You will receive a response to your request within 30 days. If your request is granted, we will send you copies or copies of all the data about you that we have processed or that has been processed on our behalf by other processors or third parties at the e-mail address provided to us. In all likelihood, we will not be able to continue to provide services in such a case, as the secure interconnection of data files can no longer be guaranteed.

Right to object and other rights

As the occasion arises, you have the right to object to the processing of your personal data by or on behalf of LinProfs B.V. If you object, we will immediately cease the processing of your data pending the resolution of your objection. If your objection is well-founded, we will provide you with copies and/or copies of the data that we are processing (or have processed) and we will then permanently discontinue the processing.

Changes to the Privacy Policy

We reserve the right to change our privacy policy at any time. However, you will always find the most recent version on this page. If the new privacy policy affects the way we already process data relating to you, we will inform you by e-mail.

Below you can read how we process your data, where we store it (or have it stored), what security techniques we use and who has access to the data.

Web hosting and server management
Amazon Web Services (AWS)

We purchase web hosting and e-mail services from Amazon AWS. Amazon AWS processes personal data on our behalf and does not use your data for its own purposes. However, this party may collect metadata about the use of the services. This is not personal data. Amazon AWS has taken appropriate technical and organisational measures to prevent the loss and unauthorised use of your personal data. Amazon AWS is obliged to maintain confidentiality on the basis of the agreement.

Services purchased by LinProfs from AWS are located within the EU. (Frankfurt, Germany)

Infrastructure
LeaseWeb

We purchase infrastructure services from LeaseWeb, including web hosting and server management. LeaseWeb processes personal data on our behalf and does not use your data for its own purposes. However, they may collect metadata related to service usage, which is not considered personal data. LeaseWeb has implemented strict technical and organizational measures to safeguard your personal data. LeaseWeb is bound by confidentiality under our agreement.

Delta Fiber Connection

LinProfs purchases internet connection services from Delta Fiber Connection. While technical staff at Delta Fiber may have access to data transmitted over this connection, we ensure that this data is sent securely through encryption. Delta Fiber Connection will not use your data for its own purposes and is bound by confidentiality agreements.

Movistar Telefónica Spain

We use Movistar Telefónica Spain for our telecommunication services. They may have access to data transmitted through their networks; however, Movistar is committed to ensuring the security and confidentiality of your data. They will not use personal data for their own purposes.

Software and Technical Support
Atlassian

We use Atlassian software products, such as Jira and Confluence, to manage projects and collaborate. Atlassian may process personal data on our behalf within these tools but does not use this data for its own purposes. Atlassian adheres to strict security protocols to ensure the protection of your data. They are obligated by contract to maintain the confidentiality of any personal data they process.

Exact Online

For support in the area of technical infrastructure we make use of the services of Exact Software.Technical staff from Exact Online may have access to personal data within our infrastructure, but they are bound by confidentiality and will not use this data for their own purposes. Exact Online has implemented appropriate security measures to protect your data.

Ingram Micro

We procure various IT products and services from Ingram Micro. While Ingram Micro facilitates the provision of these services, they may have access to metadata related to the use of these services. This data does not include personal information. Ingram Micro is bound by confidentiality agreements and has taken measures to ensure the security of any data they handle.

Microsoft Office365

For business e-mail traffic, we use the services of Office365 from Microsoft. This party has taken appropriate technical and organisational measures to prevent misuse, loss and corruption of your and our data as much as possible.

Analysis
Google Analytics 4

We use Google Analytics to analyse the use of our website. This software records the following metadata:

  • IP address
  • Browser version
  • Operating system
  • Website usage

This data is kept for a maximum of 14 months for trend analysis purposes.
